Here is a brief outline of the duties and responsibilities of each of those positions:
All executive members shall at all times promote and defend the decisions of the
Board of Directors. All executive members shall speak "as one voice" to
the public and put the agenda of the Chamber above their own.
If a member of the executive is temporarily unable to perform his or her agreed
on duties, the responsibility will shift to the next higher listed executive. Final
responsibility rests with the President.
If an executive member can not perform their duties for two or more consecutive
months, or decides to resign, a replacement shall be elected.
President
The President The President shall preside at all meetings of the Chamber
and Board of Directors. The president shall regulate the order of business at such
meetings, receive and put lawful motions and communicate to the meeting what he
or she may think is important in order to ensure the continuance and improvemnet
of the Chamber, so that the Chamber can provide the best possible service to the
members. The president shall also promote and defend the concepts worked out by
the Board of Directors or in meetings of the executive members.
The President shall, with the Secretary, sign all papers and documents requiring
signature on behalf of the Chamber, unless someone else is designated by The Board
of Directors. It shall be the duty of the President to present a general report
of the activities of the year at the Annual Meeting.
Vice President
The Vice President The Vice President shall assist the president in formulating
the agenda of the Chamber, before it is presented to the other Executives and/or
the Members. The Vice President shall perform the duties of the President in the
absence of the President. In the absence of both these officers, the meeting shall
appoint a chairman to act temporarily.
Secretary
The Secretary The Secretary shall be the executive officer of the Chamber
and shall be responsible to The Board of Directors for the general control and management
of business and affairs. The Secretary shall be responsible for conducting the Chamber
Correspondence, retaining copies of all official letters, preserving all official
documents and shall perform all such other duties as properly pertained to the office.
The Secretary shall, with the President or Vice-President, sign and when necessary
seal with the seal of The Chamber, of which they shall have custody, all papers
and documents requiring signature or execution on its behalf.
The Secretary shall maintain an accurate record of the proceedings of the Chamber
meetings and of the meetings of the Executive or the Board of Directors. The secretary
shall update or arrange for an update of the Chamber web site whenever there are
meeting minutes, agendas or any other internal news to be posted, and shall keep
the members pages and the membership list up to date and perform any updates and
additions requested by the Board of Directors or in an executive meeting, or arrange
for such an update.
At the expiration of their term of office, the Secretary shall deliver to The Chamber
all books, papers and other property of The Chamber.
Treasurer
The Treasurer The Treasurer shall be responsible for keeping the books of the
Chamber and have charge of all funds of the Chamber and shall deposit, or cause
to be deposited, the same in a financial institution, selected by the Board
of Directors.
Out of such funds the Treasurer shall pay amounts approved by the Executive
members or the Board of Directors and shall keep a regular account of the
income and expenditure of the Chamber and submit an audited statement thereof
for presentation at the annual general meeting. The Treasurer shall provide
an up-to-date Treasurers Report at the monthly meetings and at any other time
required by the Board of Directors.
They shall make such investment of the funds of the Chamber as The Board
of Directors may direct. The Treasurer may, along with the President or Vice-President,
supply one of the two signatures required on all notes, drafts and cheques.
The treasurer shall also be responsible for all invoicing and collection
of any money due to the chamber, including membership fees and fees for Chamber
organized events. The treasurer shall inform the secretary as to the membership
fee payment status of all members whenever any payments are received.
